Annual General Meeting

June 6, 2009

Reasons for AGM to be held: to vote on previous presented motions, to elect directors and executives

You must be an associate member to vote at meetings or to be a director or executive.  All associate memberships for this meeting were to be paid by start of AGM June 6, 2009.  The cost of Associate memberships is $2.00 for each associate membership. (see attached list of paid members)

Minutes of the Last meeting as circulated.  No errors/omissions reported.

Annual report of the Board of Directors as presented by the President:  Don Williamson

• Discussed incident @ Onanole and it is requested that everyone be mindful of how we treat animals in and out of the arena.  We are exposed to public opinion/scrutiny and the animal welfare rules must be adhered to.
• Dress Code – Reminder to be in dress code 1 hour before rodeo and 1 hour after AND to be wearing back #’s during the entire weekend of the rodeo.  All members should be familiar with their rule books.
• Don stepping down as President to head up the 2010 Canadian High School Rodeo Finals to be held in Brandon, MB at the Keystone the 2nd week of August 2010.   
• Thank you to executive and to Art and Marilyn Cochrane for their mentorship.

Annual report of the Treasurer as presented by Treasurer:  Bonnie Snezyk

• Printed report available upon request (some available at meeting) 
• Memberships up this year
• Last Year there was a deficit of $1400.00
• Approx. $18,000 in the General Account

Bonnie Snezyk Motion:  That memberships increase from $117 to $120.  2nd by Shauna Peters.  Carried

Bonnie moved her report be adopted as read.  2nd by Casey Brown  Carried

Sandy Drier reported feedback received from Pierson re:  the Pierson rodeo.  Feedback was positive with special mention of attitude/behavior of contestants as well as clean up of grounds after the rodeo.  Pierson has welcomed the MHSRA back again in future.

Committee Reports

National Directors Report:  Art Cochrane

• Thank you’s all around to the executive and directors/volunteers for a job well done
• Good luck to all the competitors heading to WJHFR in Gallup, NM, NHSFR in Farmington, NM and the Canadian Finals in Williams Lake, BC
• Reminder to parents to be aware of what’s going on in/out of arena in the area of livestock treatment.
• Last year there was discussion around splitting the MHSRA into 2 divisions as the biggest population and perhaps sponsorship lies in the east.  Art would like to see us pursue this further.
• Sponsorship should be continually sought actively by all members of the MHSRA

National Cinch Director Report: Kevin McCannell – absent, no report

Ways and Means:  Bonnie Rutton – working on some good ideas for next year

Team Clothing:  Marcia Rinn – continue to deal with The Screen Door for team clothing.  Open to ideas/suggestions regarding adding clothing items etc.  Melanie Drier suggested the clothing available be listed on the website.

Call Entry:  Sharon Medd  - Great improvement on members having their entry sheets filled out properly.  Please be respectful of the Wed 10pm call entry deadline.  Reminder that entries at the rodeos are set up 2 hours before the performance (ideally she would like all entries done ½ hour before perf. so that all paperwork can be completed before the start)

Rodeo Liaison- Art Cochrane – We are losing Dauphin rodeo for the fall with a possibility of having Beausejour come onboard.  Discussion with Oak Point but no response yet.  We really need someone to meet with the committees to encourage new rodeos and to promote the MHSRA.  Also, the current rodeo committees need to be contacted to maintain a good relationship.

Website/News Carrier:  Wes Pankrantz  - will be assisting set up Brenda Tonn in this position

Scholarships:  Neil Miller – Interviews were all excellent.  Colleen Mullin will return to this committee.

Foundation scholarship/basket:  Cherie Lyng – Basket 3’x3’x3’ with the theme “Gone Fishin’”  Please have donated items or $ to Cherie by Hamiota Finals

Queen Coordinator:  Barb Bourassa – everything on schedule.  Donna Baker will be taking this on for next year.

Finals Committee Chair:  Bonnie Kent – Thanks for the volunteers for chaperones.  Any questions please see Bonnie Kent.

Promotions:  Don Williamson – Don will be aware of sponsorship overlap/conflict when planning the Canadian Finals.

Sponsorship/Awards Committee: Ginny Collins – Ginny is considering a new position re:  advertising of sponsors.  If everyone could find just 1 or 2 sponsors we would be in good shape.  There will be no Cinch buckles this year as no sponsorship to cover this cost.  We still need a $3000 back # sponsor, a few saddle sponsors.  There is always a need for sponsorship!  If the money is not needed for awards it will be put to good use in scholarships.

Old Business:

1. Discussion brought forward regarding implementing $100 mandatory sponsorship per family.

New Business:

1. Association fundraising discussion:  i.e. grocery voucher program – Don gave overview of the program.  Eg.  You sell a $100 voucher and the purchaser receives a $100 credit voucher (card) towards grocery purchase.  Does not cost the purchaser anything extra and the grocery store gives us a percentage (usually 6-8%) of sales.  Last year we made approx. $11,000.00
2. Canadian Finals in Manitoba to be chaired by Don Williamson and held in Brandon on August 6,7,8, 2010
3. The first Director’s Meeting of the new executive will be held at Finals Rodeo in Hamiota. (see attached list)
